Printer Network Assessment
"The average company spends 3% of its revenues on printing and imaging."
– Gartner Research
How much does your organization spend? If you're uncertain about that figure, you're not alone.
Would you like to save money on printing and copying costs?
Would you like to increase productivity while enhancing the end user’s experience?
With an Imaging & Printing Assessment from MCPc, you can finally get a handle on your imaging and printing environment and all of its associated costs, enabling you to identify areas in which to save money through smarter printer use. Document printing and copying continues to be one of the largest—but also one of the most controllable—expenses for companies of all sizes.
Are You an Assessment Candidate?
We understand that at most organizations, nobody really wants to “own” printing and imaging, and all of its associated costs. This can be for many reasons, including a focus on higher-level priorities, budget being spread across multiple departments or a lack of corporate-wide printing regulations. However, due to a lack of centralized management, you may be facing one of the following situations:
- You don’t have a clear understanding of your printing, copying and faxing costs.
- There are multiple people managing different aspects of your imaging and printing environment, and no complete overview available.
- Your organization has recently merged with or acquired another company, and you aren’t sure how to consolidate your imaging and printing services.
- Your environment is not managed strategically.
If imaging and printing costs are out of control at your organization, but you don’t know where to start to reign them in, an assessment may be just what you need to curb printer usage and costs. Wouldn’t you like to share a tangible, approachable cost-saving strategy with your executive team?
Imaging & Printing Assessment Details
We start by installing software on a virtual server to assess all network-connected devices. For any printers that are not network-connected, we may ask you for some performance reports.
A tour of your office environment will show our experts how your organization’s printer fleet is physically dispersed.
Working with your financial department, we’ll gather information on the following:
- Hardware procurement history
- Lease schedules, expiration dates and terms
- Paper and supply purchase history
After analyzing the details on all of the above complexities, we will determine the clear-cut, dollars-and-cents numbers associated with your printer network, including: fixed costs, variable costs and where you can most effectively save money.
Based on your organization’s printer use, one of our skilled Solution Architects will develop a plan for your environment. Solutions we propose may include:
- Upgrading hardware in some or all areas, depending upon their lifecycle
- Reorganizing printers within your environment to extend useful life
- Setting user-based printing rules
- Limiting color printing to specific machines
- Setting defaults for two-sided printing
- Automating toner and paper replacement orders based on use
- Improving service and maintenance
- Consolidating licenses and invoices among vendors
- Implementing new internal printing policies
We’ll even be able to estimate your annual savings and ROI on proposed solutions.
